GENERAL SUMMARY
Administrative office specialists must take on various roles within the Enrollment department to help ensure effective day-to-day operations. This role may require, but is not limited to, performing general clerical tasks, communicating with and greeting patients in a friendly, professional manner, responding to phone calls, voicemails and emails in a timely manner. Individual must have exceptional communication skills and the ability to support a busy office environment. Excellent grammar skills, proofreading, and proficiency in writing along with interpersonal customer service skills.

Position Requirements:
Facilitates the enrollment department in daily face to face interaction with patients
• Facilitates all scheduling of enrollment appointments via phone and in person
• Ensures that patients wait times are minimal
• Strong written and communication skills when speaking with patients and enrollment staff • Greets new and existing patients politely and positively upon their arrival for appointments • Checks-in patients into EMR (NextGen) in a timely fashion • Rotate patients to next available enrollment specialist to negate long wait time • Schedule patient appointments, both new and follow-up • Call patients to inform them of upcoming appointments and reschedule as needed • Ability to effectively work within NextGen software and update files accurately • Experienced in maintaining a professional level of patient privacy in accordance with HIPAA procedures
• Review records and accurately scan documents into correct patient chart
• Ensures that all documents with patient information are placed into shredder bin after properly scanned into NextGen. • Input correct information in data entry software and maintain detailed information regarding updates provided by patients • Review patient insurance/ documents and scan into NextGen system
• Examines pages to ensure image quality and complete document is scanned and in proper record. • Report any documents to supervisor that are not relevant to the enrollment process • Monitors copy paper supply inventory, reports low inventory to supervisor to reorder

Position requires a high school diploma or equivalent. Must have exceptional organizational skills, excellent computer skills, and be detail oriented with the capability to handle confidentiality. Must be have good communication skills. Preferred qualifications: Prefer minimum of one to two years of customer service, health information management, physician office or other clinic environment experience.


WORK ENVIRONMENT
This role may require lifting up to 50 lbs.
The work location for this role is onsite
